What Fettlr collects, why, and what happens to it.
Note for launch. This policy is a working draft written to describe how the product actually behaves. Have a solicitor review it against your final data flows, then delete this note.
What we hold
Two categories of information. First, the material compiled inside the app: the check-in schedule uploaded to it, the photographs taken against it, and any notes or invoices attached. Second, ordinary account and billing information for agencies who use it — a name, a work email address, an agency name, and the record of what was used for billing.
Why we hold it
Schedules and photographs are held to produce the report, and to make it available again if it is needed later. Account information is held to run the service and bill for it. We do not sell any of it, and we do not use the contents of a property record for advertising.
Who can see it
A property record is visible to the account that compiled it. Where an agency issues Fettlr to a tenant, the tenant compiles the record and controls who receives the report. We do not route records to landlords or agents automatically.
How long we keep it
Property records are retained while an account is active and for a defined period afterwards, so a report can be retrieved during the window a dispute might arise. You can ask for a record to be deleted sooner.
Your rights
Under UK data protection law you can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it, or object to how we use it. Write to privacy@fettlr.app and we will respond within a month.
Processors
We use third-party providers for hosting, payment processing and email. They act on our instructions and are bound by contract. A current list is available on request.
Changes
If this policy changes materially, account holders will be told by email before the change takes effect.
